RECEIPT GENERATION — DIGITAL, PRINT, AND SMS RECEIPTS EXPLAINED
RECEIPT GENERATION — DIGITAL, PRINT, AND SMS RECEIPTS EXPLAINED.
A receipt is more than proof of payment.
In Kenya in 2026 it is a legal document. A customer right. A business record. And a KRA compliance requirement.
Getting receipt generation right in your POS is not optional.
Why receipts matter more than most developers think
✅ Legal requirement — KRA requires businesses to issue receipts for every transaction
✅ Customer trust — a receipt tells the customer the transaction was recorded officially
✅ Business record — receipts create an audit trail for every sale
✅ Dispute resolution — when a customer claims they overpaid, the receipt settles it
✅ KRA eTIMS compliance — receipts must now carry a KRA verification code
The three types of receipts your POS must support
Printed receipts
The physical receipt printed via a thermal printer at the point of sale.
✅ Instant — prints automatically when payment is confirmed
✅ Does not require customer to have a phone or email
✅ Works offline — thermal printers do not need internet
What a proper printed receipt must include:
✅ Business name, address, and contacts
✅ Business PIN number
✅ Date and time of transaction
✅ Unique receipt or invoice number
✅ List of items — name, quantity, unit price, total
✅ Subtotal, tax amount, and grand total
✅ Payment method and amount tendered
✅ Cashier name or ID
✅ KRA eTIMS QR code or verification code
Digital receipts via email
✅ PDF receipt sent to the customer's email
✅ Customer has a permanent record
✅ No paper required
✅ Useful for corporate clients who need invoices for accounting
SMS receipts
✅ Works for any customer with a phone — no email required
✅ Instant delivery
✅ Customer does not need internet to receive it
✅ Ideal for the Kenyan market where SMS penetration is near universal
KRA eTIMS — the compliance requirement you cannot ignore
Since 2023 KRA has been rolling out the Electronic Tax Invoice Management System. Every VAT registered business is required to issue KRA compliant electronic receipts.
What eTIMS compliance means for your receipt:
✅ Every receipt submitted to KRA's eTIMS system in real time
✅ KRA responds with a verification code — QR code or alphanumeric
✅ That code printed or displayed on the receipt
✅ Customers can scan the QR code to verify the receipt is genuine
Any POS built for a Kenyan business today must include eTIMS integration. It is not a future consideration. It is a current legal requirement.
Are every receipt your business issues legally compliant and professionally presented?
